With the bulk update tool, you can easily assign roles and permissions to multiple users, saving you valuable time. This feature enables you to effortlessly utilize the flexibility and control provided by Advanced Permissions.
Bulk update offers convenient features like updating roles in bulk and adding or replacing permissions in bulk. Keep in mind that only Brand Super Admins or users with permissions to manage Creator Studio users can perform bulk updates for users. Community Admins can use filters, but they won't have the ability to bulk update roles and permissions.
Roles and permissions are two different actions and cannot be updated simultaneously, however, there is no limit to the number of users who can be updated at a time.
Note: Very large jobs need time to execute. For example, it can take between 5 and 10 minutes for a bulk update to be processed for 1000 users.
Users Page Filters
Filters on the Users page help you select the exact set of users that you need to edit in bulk. For example, you can filter to “everyone in the Sales department” or “everyone who has already been granted access to the Sales template”.
The users list can be filtered by permissions, status, role, and audiences. One, multiple, or all filters can be applied at once.
- Permissions: This will filter the users who are assigned these permissions. The Permissions filter focuses on explicitly granted permissions only. It does not display users who have access via an All Topics assignment or an Unrestricted role. For example, you are unable to use the filter to see “everyone who can publish to the HR topic”. You can only use the filter to see “everyone who has been explicitly assigned the HR topic”.
Note that the permissions filter will only return users with assigned permissions, so users with roles that have “No Restrictions” enabled will not be displayed in a list filtered by permissions.
- Topics will filter all users assigned the selected topic(s).
- Audiences will filter all users assigned the selected audience(s).
- Templates will filter all users assigned the selected template(s).
- Email Aliases will filter all users assigned the selected email alias(es).
- Author Aliases will filter all users assigned the selected author alias(es).
- Status will filter users who have the selected member experience status.
- Role will filter users who have been assigned the selected Creator Studio role.
- Audiences will filter users who are in the selected audience.
Within each filter, the system will use OR logic. For instance, if you choose multiple roles from the Role filter such as Content Creator and Content Publisher, the list of users will include those who have either the Content Creator OR Content Publisher role.
However, if you select multiple filters, the system will use OR logic within each filter and AND logic for additional filters. For example, if you choose multiple roles from the Role filter such as Content Creator and Content Publisher, and then choose both HR and Education from the Audiences filter, the list will contain users who have the Content Creator OR Content Publisher role AND are assigned the HR OR Education audience.
Filtering by Text Search
Search text can be entered to select specific users to be bulk updated. Note however that search text acts as a temporary filter and only displayed users will be updated. If some selected users are not returned by the current search then these users will not be updated.
When selecting multiple users by searching, clear the search text before applying bulk updates.
How to Bulk Update a Role
Bulk updating a role is used to update multiple users' roles. This action only changes the role and does not apply any permissions. If a user's role is changed from one restricted role to another, their permissions will remain unchanged.
- On the People page select the checkbox next to all of the users you want to bulk update the role for, or select the top checkbox to auto-select all users listed.
Pro tip: Use the Users page filters to limit the page to the users you want to edit, then click Select All. Confirm the number of users selected at the top of the list.
- Click the Update Role button.
- Select the role from the Role drop-down that you want to apply to all selected users. You can choose from all available roles, including custom roles. Note that only one role can be assigned at a time.
- Click Confirm.
- Make sure that the correct number of users, as well as the correct role, have been selected. Click Confirm to update the role for all selected users.
How to Bulk Update Permissions (Add or Replace)
Note: Permissions for users with the Member role can be modified, however, these changes will only become active if the user is assigned a restricted Creator Studio role.
- On the People page select the checkbox next to all of the users you want to bulk add permissions for, or select the top checkbox to auto-select all users listed.
- Click the Update Permissions button.
- Select Add or Replace from the Action drop-down.
Add Permissions
This option will add the selected values to the users' existing permissions list.
Ex: If a user is currently assigned 2 topics and the add option is used to add 3 topics, the 3 new topics will be added to the current 2 topics. The user will now be assigned 5 topics.
- Select at least one permission from the Permissions drop-down.
- Select the value/s from each permission drop-down that you would like to add to the users.
- Click Confirm to review your changes.
- Make sure that the correct action, number of users, and permissions have been selected. Click the Add button to apply the additional permissions to the selected users.
Replace Permissions
This option will replace the users' existing permissions with the selected values.
Ex: If the user is currently assigned 3 audiences and the replace option is used to replace their audience permission with 2 audiences, the 3 current audiences will be removed and replaced by the 2 new audiences. The user will now be assigned 2 audiences.
- Select at least one permission from the Permissions drop-down.
- Select the value/s from each permission drop-down that you would like to replace for the users.
- Click Confirm to review your changes.
- Make sure that the correct action, number of users, and permissions have been selected. Click the Replace button to replace the selected users' current permissions with the new permissions.
- Select at least one permission from the Permissions drop-down.
- Your changes will now be applied to the selected users.
