Uploading a Data File
Only Brand Super Admins and custom roles with access to manage Personalized Fields can upload data files.
Specifications
- UTF-8 encoded files as other formats will strip certain characters or symbols
- The field names provided in the header row will be used as the attribute name in Creator Studio
- Files can have a maximum of 11 columns, one of those columns must include the employee identifier (e.g. universal identifier or email)
- Multiple files can be uploaded to a campaign (there is no limit)
- Sign in to Creator Studio.
- Create a new campaign or edit an existing campaign.
- Click on the Personalized Fields icon on the left-hand navigation menu on the Design page.
- Click Upload .csv.
- Drop a file or select one to upload. When in doubt, refer to the example .csv for formatting details.
Note: There is a 256 character per cell limit. Exceeding this limit will return a "Failed to upload or process the file" error. - You will now be prompted to configure your Dataset File. You must first select which column name represents the employee identifier, as well as an Identifier type (e.g. universal identifier or email).
Note: If a community uses both a universal identifier and email, either can be used to identify employees in a file. However, it is important to ensure each file only uses one type of identifier, and that the correct type is selected in the Identifier Type drop-down. - Select which columns should be imported as attributes. Only select the attributes you’d like to use as personalized fields within the campaign. Click Continue to process the file.
Should any errors be found, a summary will display detailing the errors. You will then be able to download an error report to see a detailed view. You can click on the action icon next to the file at any time to view the error details.
Ex: - Once any errors have been resolved and the file has a status of Validated, make your file retention selection.
File data can be retained indefinitely or expired by selecting a date using the date picker. If an expiration date is selected, when the chosen date arrives, the data will be removed from the community and our Firstup system. If the campaign is still visible in the feed in the member experience, users will see any default value that has been set for that field; otherwise, that field will appear blank.
The expiration date can also be adjusted as long as the chosen date has not already passed by simply clicking the gear icon next to the file name on the left-hand side of the page and updating this information in the date picker. - Click Confirm to complete the file upload.
Inserting Attributes into a Campaign
Any user with access to edit the campaign can utilize uploaded file attributes. Once a file has been uploaded, the file attributes will appear beneath the system attributes in a nested Variables menu.
Note: If multiple files have been uploaded for a campaign, they will stack underneath the User Attributes. The attributes from each individual file will be nested under each file name.
- Place your cursor in the rich text box where you want the attribute to appear.
- Select the attribute from the Variables menu to insert it into the rich text box. You will be able to select from the User Attributes enabled for your community or from the attributes uploaded via file.
- Confirm that the selected attributes were inserted as intended.
Note: If a default has been set for a user attribute in Field Management, it will be displayed here but can be modified by clicking on the attribute. (Ex. { department | Product } )
Default Values
Any user with access to edit the campaign can edit default values. A default value can be configured to display for any users who do not have data to support a field.
- Click on the attribute in the rich text box.
- In the pop-up window, enter the default value.
- Click Save. Once configured, the defaults will be displayed in the rich text box after the attribute name, separated by a pipe symbol. If a default is not configured, the value will automatically display a blank value if a user does not have data to support that field.
Note: If a field is used multiple times in a campaign, a default value will need to be created each time it is used.
Deleting a File
To delete a file, select the trash icon next to the file name on the left-hand menu. When a file is deleted, this removes all data from the campaign and the system. Attribute names will still remain in the campaign content in Creator Studio; however, the names will no longer appear in the Variables drop-down menu. Similar to a file with a retention date, if the campaign is still visible in the feed in the member experience, users will now instead see any default values that have been set for that field, otherwise, that field will appear blank.
Previewing the Campaign
Campaigns can be previewed with Default Values, as Self or as an Audience Member. However, only the Brand Super Admin who uploaded the file can preview the file data as an audience member.
With Default Values and as Self
All users can preview with Default Values and Self. When previewing as Self, if you have data in the file or data for a system or custom attribute, you will see your corresponding values in the campaign preview. If you do not have data in the file, you will see the default values.

File Upload
Only the Brand Super Admin who uploaded the file can preview file-specific data as an audience member. Once a user has been selected, the preview will display data based on what is available in the file. If a user is in a selected audience but not a part of the personalized fields data set, their preview will display with the defaults.
System and Custom Attributes
If a campaign includes both file upload data and system or custom attributes, you can only preview the system or custom attributes as an audience member if you have a system role or custom role with access to the People page.
Note that the preview will be limited to assigned audiences for restricted system roles (Community Admin, Content Publisher, and Content Creator) and restricted custom roles.
Note: To preview as a topic follower, select the "Subscribed to: 'Topic Name'" audience.

FAQ
Are attributes supported in the campaign title and description?
Yes, they are supported in the title or description. If a personalized field is pulled into a cover title or description, that field will display as expected in the feed and/or email. Fields are pulled in from the content itself.
Are default fields required?
No, defaults are not required at the global level in Configure or for individual fields within a campaign, but we do recommend their use to ensure users have the best possible experience.
Can custom fonts be used with Personalized Fields?
Yes, custom fonts can be used with attributes.
Can test emails be sent with other user’s data?
No, test emails will only display the sender’s data. Test emails cannot be sent using selected data from the preview drop-down menu.
What if there are system and custom attributes with the same name?
Custom attributes will be indicated as such in Configure and the editor dropdown.
Can multiple users upload files to the same campaign?
The best practice is to incorporate data into a single file; however, multiple users can upload files to the same campaign. Note that users can only preview data from files they have uploaded.
What happens when one user tries to upload a file with a column name already used in another file?
Users must use different column names to identify their data. If user A uploads their file first, then user B uploads their file using the same columns names as user A, they will see an error letting them know that those attribute names already exist. A campaign with multiple files will show the file names themselves in the Personalized Fields left-hand panel menu.
How does a campaign with multiple files look?
All users who can access the campaign will be able to see the file names listed under the system attributes within the menu in the rich text editor, and the imported attributes nested within their respective file names. All users who can access the campaign will also be able to use the attributes within the rich text editor, and see the token names within the campaign if any have been inserted already.
What happens if there are multiple files with different retention dates?
If multiple files have different retention dates, the fields will respect the date associated with the file they originate from and will remain visible until specified within that file’s settings.
How do Personalized Fields work with duplicated campaigns/templates /CPCM?
When using system fields (such as first name, last name, universal identifier) in a campaign, these attributes will be carried over, and the data will appear as expected across duplicated content and templates. However, if a campaign involves file upload fields and is duplicated, saved as a template, or duplicated via CPCM, the file within the original campaign will not be duplicated or saved to the new campaign/template.
The attribute names will be present in the duplicated campaign/template, but the associated data will not appear for users because no file is linked to support that field. Consequently, these fields will appear blank unless a new file is uploaded to the campaign.
Can admins turn off all of the attribute fields in Configure?
Yes, admins can turn off all attribute fields. If no fields have been included from Configure, the editor dropdown menu will still display in rich text boxes, but the menu will read “none available” if a user clicks it.
Are attribute events listed in the Activity Feed?
Yes, attribute events can be viewed in the Activity Feed.
